Power Platform sprawl: orphaned apps and flows

· 2 min read

Power Platform makes it easy for anyone to build an app or a flow. That is its strength, and also why estates grow fast and quietly. When a maker leaves the company, what they built often stays behind.

What an orphaned app or flow is

An orphaned asset has no active owner. The person who built it left, changed roles, or lost their license, and nobody took over. The app or flow may still run every day.

Why it matters

  • Cost: abandoned automations can keep using premium licenses and storage capacity. Extra Dataverse storage is billed beyond what your plan includes, so check your usage against your contract.
  • Security: one governance vendor points out that orphaned flows can keep the connections their former owner set up, such as to SharePoint or a database, with no one reviewing them.
  • Support: when something breaks, there is nobody to ask.

What Microsoft gives you

The free Center of Excellence Starter Kit inventories your apps, flows and environments and helps you find orphaned items. It is a solid start. It is free to download, but it runs on Power Platform components that use licenses and capacity, and the same vendor says you still have to switch to the admin center or PowerShell to reassign ownership.

A monthly routine that works

  1. Export the list of apps and flows, with owners.
  2. Mark every owner who has left or changed teams.
  3. Reassign what is still useful. Archive the rest, and only delete after a waiting period.
  4. List apps and flows that use premium connectors, and check each user is licensed for them.
  5. Compare Dataverse usage with your allocated capacity.
  6. Report costs by department, so each team sees what it spends.

Environment rules

A common pattern is four kinds of environment: a locked-down default, a sandbox for experiments, production environments for each department, and one shared environment for company-wide apps. Data loss prevention policies decide which connectors each one allows.
